iX Report
Spreadsheet reports with today’s data, on demand. Upload your workbook once, attach a query to each sheet, and anyone with access downloads a fresh copy whenever they need it.
What it is
A report in iX Report is your own spreadsheet workbook plus a query for each sheet that should hold data. Every time someone asks for it, the sheets are filled with current data, the formulas are recalculated, and the finished file is ready to download or arrives by email.
Your layout, formatting and formulas stay exactly yours. Only the data changes.
Key features
- Fresh data on every download. No more copying numbers into the same file by hand.
- Bring your own workbook. Tables are filled below your headers and take on your formatting, including alternating rows and number formats.
- One query per sheet, any sheet. The panel lists your workbook’s sheets and suggests the ones that look like raw data.
- Email a report once, or schedule it daily, weekly or on any pattern you choose.
- Bilingual email text (English and Persian) with your own editable signature.
- Share a report with named people, or with everyone who has iX Report access.
- Run history for every report, with plain-language warnings if a column in your sheet had no matching data.
- Clear access levels, so people only see the actions that apply to them.
Access levels
Each level includes everything in the levels below it.
| Level | Name | What you can do |
|---|---|---|
| 1 | Use | Open the panel; download your own reports and those shared with you. |
| 2 | Build | Upload workbooks, write queries, choose a database you can read, and share a report. |
| 3 | Email a report, once or on a schedule, to your own profile address. | |
| 4 | Addresses | Keep an address book and send to other recipients (To, CC, BCC). |
Ask your administrator to raise your level if an action you need is missing.
Getting started
Download a report
- 1Open iX Report from the sidebar. Your reports and the ones in “Shared with me” appear as cards.
- 2Open a report and press Download.
- 3The file is prepared and downloads as the report name plus today’s date. Pressing Download twice simply joins the run already in progress.
Build a report
- 1Choose New report. The builder has three steps: Workbook, Data and Details.
- 2Workbook: upload your workbook. The panel reads its sheets.
- 3Data: choose a database and write a query for each sheet that should receive data. Column names are matched to your headers regardless of capitals, spaces or punctuation.
- 4Details: name the report, add a description, and choose who can download it.
- 5Save, then press Download to try it.
Common tasks
Email a report
Open the report’s email panel, check the preview of the message, and send it now. Level 3 sends to your own address; level 4 can also use your address book.
Schedule a report
In the automation settings pick recipients, write the email text, and set the schedule. A preview shows the next run times before you save.
Share with colleagues
| Role | May |
|---|---|
| Can download | See the report in “Shared with me”, download today’s workbook, see their own runs. |
| Can edit | Also change the name, description, workbook and queries, and see every run. |
| Owner | Also set up email and schedules, manage sharing, and delete. |
People who download a shared report never see its queries.
Understand warnings
After each run, the report lists any sheet columns that had no matching query column, and any that came back empty. Use it to fix a mismatched header in seconds.
Tips and limits
- Data is read with the owner’s access. If the owner loses access to a database, the report stops with a clear reason instead of showing partial data.
- A report can return up to 200,000 rows per query.
- Charts, pivot tables and macros inside your workbook are not preserved; tables and formulas are.
- Each person can have up to four reports running at once.
- Finished files are kept for a limited time, so download what you need.
